All requests to borrow artworks from the Brigham Young University collection for campus display must be submitted in writing. Requests to borrow works from the university collection will not be approved until after an inspection of the intended location by a Museum of Art registrar.

The Interdepartmental Loan Agreement contains the following conditions:
- The borrower must be a full-time employee of Brigham Young University, and when the borrower leaves the university, this contract is terminated. The borrower will notify the Museum of Art immediately if his or her employment at BYU is ending, or for some other reason responsibility for the work is to be transferred to another individual. If a work is borrowed by a department or college, one individual must still assume responsibility for its care and condition (usually the department chair or dean).
- The Brigham Young University Museum of Art reserves the right to check the location and condition of the work and recall borrowed objects at any time for the purpose of exhibition, study, or protection without notice. On-site inventory will be performed annually at the time of contract renewal.
- All rooms containing works of art must be locked when unoccupied.
- The works of art must not be moved, unframed, cleaned, restored or otherwise handled by the borrower. If the area is to be renovated, cleaned, painted, etc., arrangements must be made with the museum interdepartmental loan representative, Trevor Weight (2-8204), two weeks in advance so that the work can be moved by authorized museum staff.
- Museum objects must not be placed in direct sunlight, near a heating or air conditioning unit, less than six inches above the head of any seated individual or any other object, nor in the path of any object (door, cabinet, etc.) that may abrade the work. Damage to the work, theft, or change in its condition must be reported immediately to the MOA interdepartmental loan representative, Trevor Weight (2-8204). If theft, vandalism, damage, or deterioration occurs due to negligence or failure to uphold this contract, the respective department or college will be held responsible for its restoration or replacement.
- The borrower is responsible for coordinating to have Physical Facilities install hanging hardware to wall at the time the museum representative hangs the work.
